Job Description
Our client, a research-intensive medical school in New York City, is hiring a Pre-Award Grant Manager. The Pre-Award Grant Manager plays a critical role in supporting faculty and research staff in the development and submission of competitive grant applications. This position serves as the primary contact for the Cayuse 424 and Cayuse SP systems and is responsible for ensuring all proposals are submitted accurately, on time, and in compliance with institutional and sponsor requirements. The role supports approximately 500 applications annually and provides expert guidance throughout the pre-award process.
Key Responsibilities:
- Act as the primary institutional resource for users of Cayuse 424 and Cayuse SP, offering technical assistance for faculty and staff seeking assistance or training as needed in Cayuse or eRA Commons.
- Manage the timely and compliant electronic submission of all competitive grant applications, ensuring required institutional approvals are in place prior to submission.
- Review budgets in collaboration with investigators and administrators to ensure accuracy and compliance with institutional policies and sponsor guidelines.
- Approve applications in Cayuse or alternative systems, verifying completeness and compliance.
- Analyze supplemental forms and coordinate with internal offices (e.g., IRB, IACUC, Clinical Trials) to resolve issues and confirm compliance.
- Ensure proposals meet sponsor requirements, including new policies such as NIH Data Management and Sharing Plans and updated Other Support documentation.
- Verify employment status and salary data using internal systems to ensure accurate budget proposals and compliance with NIH salary caps.
- Coordinate and document cost-share arrangements, indirect cost waivers, and no-salary support proposals for internal approval.
- Review and approve budget revisions for continuation applications and assist with submission of No-Cost Extensions (NCEs).
- Review and prepare Letters of Intent (LOIs), Statements of Work (SOWs), and collaboration letters for institutional signature.
- Review and validate sub-award and consortium budgets for accuracy and regulatory compliance.
- Evaluate face pages and ensure budget information aligns with regulatory requirements prior to signature routing.
- Assist with submission of Just-in-Time (JIT) materials, progress report additional materials (PRAMs), and other sponsor-requested documents.
- Submit non-federal project progress reports via sponsor portals as required.
- Coordinate with Research Finance on carryover requests and ensure proper routing of all related documents.
- Support investigators, administrators, and departmental leadership with any issues related to grant submission, providing solutions in a timely and professional manner.
Qualifications:
- Bachelor’s degree required; coursework or degree in Business, Accounting, Finance, or a related field preferred.
- Minimum of five (5) years of experience in sponsored research administration with responsibility for budget preparation and review; seven (7) or more years preferred.
- Demonstrated experience reviewing and submitting high volumes of proposals (approximately 500 annually).
