Job Description

 

Our client, a research-intensive medical school in New York City, is hiring a Grant SpecialistThe Grant Specialist supports faculty and their lab teams in the preparation and submission of research grant applications and contracts. This includes the coordination and review of all components of grant proposals, development of detailed budgets and justifications, and ensuring compliance with institutional and sponsor policies. The Specialist also serves as the primary liaison with collaborating institutions and internal offices to ensure timely and accurate submission of high-quality proposals through Cayuse SP and Cayuse 424.

Requirements:

  • Assist Principal Investigators (PIs) and lab personnel with the preparation and timely submission of grant applications, subawards, and contracts.
  • Develop and review detailed budgets and budget justifications in accordance with sponsor guidelines and institutional policies.
  • Coordinate the collection and organization of standard grant application documents including biosketches, other support, facilities and resources, and equipment statements.
  • Maintain and update standard departmental documents for use in applications.
  • Format and edit grant proposals to meet sponsor requirements and institutional standards.
  • Create and manage Cayuse SP proposals for routing and ensure proper linkage with Cayuse 424 for federal submissions.
  • Communicate with external subcontract institutions to collect required documentation such as biosketches, signed statements of intent (SOIs), budgets, justifications, and F&A agreements.
  • Review Cayuse Supplemental Forms and coordinate with relevant research offices (e.g., OHRA, IACUC, OCT) to ensure completeness and compliance.
  • Ensure compliance with sponsor requirements including NIH Data Management and Sharing Policy, updated Other Support formats, and human subjects or sIRB disclosures.
  • Confirm employment status and verify salaries using OBIEE or other systems, ensuring proposed effort aligns with NIH salary caps.
  • Review and coordinate internal approvals for cost-sharing, indirect cost reductions or waivers, and requests for no salary support.
  • Maintain frequent communication with investigators and administrative stakeholders to clarify submission requirements and ensure adherence to deadlines.
  • Meet semi-monthly or as needed with the Senior Department Administrator to review proposal status, upcoming deadlines, and administrative concerns.

Education:

  • Bachelor's Degree required (Master's Degree preferred) 3-5 years experience with research grants, knowledge financial management principles and practices.
