Description: Hiring a Executive Assistant to the Chief of Cardiology for a top teaching medical center. The Administrative Assistant to the Chief of Cardiology position is responsible for the academic and administrative duties of the faculty. Administrative Assistant to the Chief of Cardiology will be a charismatic, mature and professional individual who excels in organizational and communication skills with the ability to multi-task, establish priorities and determine special needs for projects. Administrative Assistant to the Chief of Cardiology coordinates extensive communication and information distribution; evaluates resources and oversees the timely completion of assignments; schedules broad range of appointments for administrative and academic offices while demonstrating flexibility and follow-through on all tasks.

  • Triage and prioritize projects and unexpected events independently and promptly to ensure the Chief’s administrative needs are met efficiently, professionally and with the highest level of quality. Crucial elements required of this position are confidentiality, tact, and discretion to handle sensitive matters.
  • Determine the nature of problems in preparing presentations and making recommendations to Chief.
  • Organize high level meetings, including developing and implementing standard procedures for these meetings and analyzing materials and presentations. Schedules of the Chief and senior level personnel and internal and external stakeholders are highly complex and require accuracy and efficiency on the part of the Executive Assistant to maximize opportunities for meetings and minimize disruptions.
  • This function requires detailed knowledge of overall departmental operations, a high degree of independent judgment, analytical skills to prioritize urgency levels, and tactful handling of sensitive calls.
  • Manage day-to-day operations of the office. Develop office operating policies and procedures.
  • Create and maintains database inclusive of faculty, fellows and staff. Review and coordinate for discussion all prospective recruitment of faculty and staff to the Department.
  • Handle, coordinate and review public relations material relative to the Department of Radiology. Oversee and review Chief's role in visits and events with Public Relations Department.

Education Requirements:

  • Bachelor’s degree with a major in a related field

Experience Requirements:

  • A minimum of 5 years of professional level experience in Administrative Assistant, or operations research; or an equivalent combination of education and experience.

Desired Skills:

  • Excellent computer skills, including MS Word, Excel and PowerPoint, including experience and proficiency in complex electronic calendaring.
