Description: Hiring an Executive Assistant to the Chair of Oncology for top academic medical center. The Executive Assistant to the Chair of Oncology position is responsible for the academic and administrative duties of the faculty. The Executive Assistant to the Chair of Oncology will be a charismatic, mature and professional individual who excels in organizational and communication skills with the ability to multi-task, establish priorities and determines special needs for projects. Executive Assistant to the Chair of Oncology coordinates extensive communication and information distribution; evaluates resources and oversees the timely completion of assignments; schedules broad range of appointments for administrative and academic offices while demonstrating flexibility and follow-through on all tasks.


  • Support Chair of Department by performing administrative duties with latitude for exercising discretion and judgment.
  • Determine the nature and scope of problems in preparing for presentations and making recommendations to the Chair.
  • Attend meetings as needed taking and distributing minutes.
  • Organize high level meetings, including developing and implementing standard procedures for these meetings and analyzing materials and presentations. Schedules of the Chair and senior level personnel and internal and external stakeholders are highly complex and require accuracy and efficiency on the part of the Executive Assistant to maximize opportunities for meetings and minimize disruptions.
  • Responsible for items entering the Chairman's office requiring review, editing, signature, approval and payment.
  • Manage and track all of the Chair's reimbursements, check requests, petty cash.
  • Create and maintain database inclusive of faculty, fellows and staff. Review and coordinate for discussion all prospective recruitment of faculty and staff to the Department.
  • Create letters and memorandum from the Chair's office
  • Maintain and renew Chair's medical license, BLS, DEA and re-credentialing. Initiate new physician credentialing process for new physician's hired for the department of Radiation Oncology.

Education Requirements:

  • Associates Degree in Office Operations required
  • Bachelor’s degree with a major in a related field preferred

Experience Requirements:

  • A minimum of 5 years of professional level experience in an administrative role supporting senior level manager or team of an organization.
  • Proficient in Microsoft Suite, Strata, SAP, P-Suite

Desired Skills:

  • Excellent computer skills, including MS Word, Excel and PowerPoint, including experience and proficiency in complex electronic calendaring.
