Job Description
As the Executive Assistant to the President & CEO, your key responsibilities will include the seamless, efficient running of the office of the CEO. The position requires high standards, meticulous attention to detail and a proactive approach to all aspects of management. Within the office of the President and CEO you will manage the flow of information and communication between the CEO, senior management, and employees. You will drive engagement and undertake activities that aid the CEO’s ability to strengthen existing relationships and develop new ones. The Executive Assistant will report directly to the Chief Executive Officer (CEO). S/he will provide Executive support on a day-to-day basis. The Executive Assistant will serve as the primary contact for internal and external parties on all matters pertaining to the Office of the CEO. The successful hire will act as a liaison to the Board of Trustees and Senior Management teams; organize and coordinate executive and external relations efforts; and oversee special projects.
Executive Support
- Executes a broad variety of tasks for the CEO including managing active calendar of appointments; expense reports; composing / preparing correspondence & presentations; arranging complex and detailed travel plans, itineraries, and agendas
- Manage key projects regarding events and communication critical to essential functions of CEO
- As the initial point of contact for CEO, exhibit a professional and friendly demeanor that reflects the office of the CEO while maintaining professionalism, strict confidentiality, and exercising discretion always.
- Plans, coordinates and ensures the CEO's schedule is followed and respected.
- Communicates directly with Board members and staff on matters related to CEO's initiatives
- Screens incoming calls to the CEO, determining whether it requires the attention of the CEO
- Researches, prioritizes, and follows up on incoming issues and concerns addressed to the CEO, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response
- Provides clear and direct communication between the CEO’s office and internal departments; demonstrating leadership to maintain credibility, trust and support with senior management staff
- Partners closely and effectively to keep the CEO well informed of upcoming commitments and responsibilities, following up appropriately
- Provides leadership to build relationships crucial to the success of the organization, and manages a variety of special projects, some of which may have organizational impact
- Successfully completes critical aspects of deliverables with a hands-on approach, including drafting letters, personal correspondence, and other tasks that facilitate the CEO's ability to effectively lead the company
Board Support and Liaison
- Serves as the CEO’s administrative liaison to the Board of Trustees
- Assists Board members as needed
- Follow up with Standing Committee Leads to ensure scheduling of quarterly meetings and agenda/presentation review with CEO
- Maintains discretion and confidentiality in relationships with all Board members
- Adhere to compliance with applicable rules and regulations set in bylaws regarding Board and Board committee matters

- Excellent customer service skills required.
- Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
- Very strong interpersonal skills – friendly and polished with high energy - and the ability to build relationships with stakeholders, including staff, Board members and external partners
- Expert level written and verbal communication skills
- Demonstrated proactive approaches to problem-solving with strong decision-making capability
- Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response
- Demonstrated ability to achieve high performance goals and meet deadlines in a fast paced environment
- Forward looking thinker, who actively seeks opportunities and proposes solutions
- Experience in contract administration or a paralegal background a big plus
- Track record of streamlining processes, making suggestions on improvements allowing CEO and others to perform tasks more efficiently
Education and Experience Requirements
- Master’s Degree preferred. BS/BA required.
- 10 years’ experience supporting a CEO, COO, or other similar C Suite level executive in a Health Care facility required.
- Experience working with and supporting a Board of Trustees
- Advanced IT Skills; Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), and Social Media web platforms
- Flexibility on schedule with the ability to stay past traditional hours on days needed
