Executive Assistant to Healthcare CEO
Job Description
Our client, a leading pediatric healthcare institution known for its dedicated multidisciplinary team and state-of-the-art facilities, is hiring an Executive Assistant to the CEO. This dynamic position offers a unique opportunity to support critical leadership functions within a renowned children’s hospital committed to exceptional patient care and innovation. The Executive Assistant will serve as a vital linchpin in facilitating seamless operations, managing complex schedules, and maintaining vital communication channels for the hospital’s executive leadership team.
Key Responsibilities:
- Provide high-level administrative support to the CEO, including proactive calendar management, prioritizing requests, and coordinating daily schedules.
- Act as the primary liaison for internal staff, external stakeholders, donors, and community partners, ensuring clear and professional communication.
- Organize and coordinate board meetings, leadership retreats, and hospital events, including agenda creation, minute-taking, and follow-up.
- Draft, review, and proofread high-level correspondence, presentations, speeches, and reports tailored for diverse audiences.
- Oversee strategic project tracking to ensure timely progress and stakeholder updates.
- Maintain knowledge of hospital policies and regulatory requirements relevant to executive reporting and documentation.
- Represent the CEO and hospital leadership professionally in interactions with patients’ families, clinical staff, the Board, and community members.
- Coordinate travel arrangements and manage expense reports accurately.
- Handle sensitive information with strict confidentiality and discretion.
Requirements:
- Minimum of 5 years supporting C-suite executives, preferably within healthcare, non-profit, or pediatric settings.
- Mastery of Microsoft Office 365 (Outlook, Word, Excel, PowerPoint, OneNote, Teams) and familiarity with ADP WFN; experience with project management tools is essential.
- Experience with healthcare-specific platforms such as Meditech, Expanse, or Voalt is a plus.
- Exceptional written and verbal communication skills emphasizing professionalism, diplomacy, and empathy.
- Strong organizational skills and the ability to manage competing priorities calmly and efficiently within a fast-paced environment.
- Demonstrated ability to handle confidential information with discretion.
- Bachelor’s degree from an accredited U.S. institution.
