Job Description

Our client, a highly respected healthcare organization known for exceptional patient care and operational excellence, is seeking a Practice Administrator to lead and scale operations across a growing multi-site practice.

Qualified candidates must be able to work on-site five days per week at our practice location in Lower Manhattan.

This is a true operator role. The Practice Administrator will be deeply embedded in daily operations - leading from the front, working side-by-side with staff, and driving execution. This position is ideal for a hands-on leader who thrives in the workflow, solves problems in real time, and ensures systems, people, and processes run smoothly as the practice expands.
The Administrator will play a central role in supporting multi-site growth, onboarding new providers, and maintaining high standards of patient experience, efficiency, and compliance.
Key Responsibilities
Operational Leadership

  • Oversee day-to-day operations across multiple practice locations, ensuring seamless execution and rapid issue resolution
  • Lead administrative and clinical support staff through direct, on-site coaching, accountability, and performance development
  • Own staffing models, scheduling, coverage planning, and cross-training to maintain operational continuity
  • This role is not a purely strategic or advisory position, nor is it a leadership role that operates primarily through delegation without direct operational involvement.
Process & Workflow Optimization
  • Map, evaluate, and improve workflows to increase efficiency and eliminate bottlenecks
  • Develop, implement, and maintain SOPs; ensure adoption through training, reinforcement, and audits
  • Identify operational gaps and personally drive solutions, including training, process redesign, and vendor coordination
Communication & Team Alignment
  • Serve as a key liaison between providers, staff, leadership, and patients
  • Promote clear communication, accountability, and consistent follow-through across teams
Compliance & Quality
  • Ensure adherence to healthcare regulations, operational controls, and documentation standards
  • Maintain quality and patient service standards across all sites
Financial & Performance Management
  • Monitor financial performance and contribute to budget development and cost management
  • Track weekly operational KPIs (volume, access, no-shows, scheduling lead times, front desk accuracy) and lead corrective action
  • Partner with billing to address operational drivers of denials, documentation gaps, eligibility issues, and authorization delays
Growth & Expansion
  • Support strategic growth initiatives, including new site openings and provider expansion
  • Translate plans into detailed operational execution and timelines
Facilities & Vendor Management
  • Oversee vendors, supplies, equipment, and facility needs across locations
Requirements:
  • Proven experience in healthcare practice management or administration with direct ownership of daily operations
  • Demonstrated hands-on leadership style with a track record of working closely with staff to execute and improve performance
  • Strong people leadership skills, including coaching, delegation, and accountability
  • Excellent organizational, analytical, and problem-solving abilities
  • Strong communication skills with the ability to build trust with providers and staff
  • Knowledge of healthcare regulations, clinical operations, and revenue cycle fundamentals
  • Comfortable working on-site in a fast-paced, growing environment
  • Experience supporting multi-site practice growth or new location openings strongly preferred
  • Strong background in SOP development, training, and change implementation strongly preferred
  • Experience in rapidly evolving or high-growth environments strongly preferred
